Drug Test - December 1st Application Rejections

Did you get an email or letter from the U.S. Coast Guard (USCG) notifying you that your application was rejected? Starting December 1, 2024, the USCG will begin strictly rejecting incomplete applications for original, renewal, and upgrade credentials, including those for OUPV renewal, Six-Pack licenses, and 100-Ton licenses.

You can read the USCG’s official notification regarding application rejections here.

If your application is rejected, you must resubmit the entire package after addressing the issue. Among the most common reasons for rejection is non-compliance with USCG drug test requirements. This blog will guide you through how to resolve issues with your drug test to ensure your application is accepted.

Why Applications Get Rejected Over Drug Tests

The USCG has strict guidelines for drug testing, and any deviation from these can result in rejection. Here are the most common reasons drug tests are flagged:

  1. Not a DOT 5 Panel Test
  2. Negative Dilute Result
    • Solution: A negative dilute result requires you to retake the test.
  3. Lab Not SAMHSA-Approved
    • Solution: Check with the clinic that processed your test. If the lab listed on your results is not SAMHSA-approved, there may be a mistake on your results sheet. If it’s not a mistake, you’ll need a new test processed by a SAMHSA-approved lab.
  4. Not Certified by a Medical Review Officer (MRO)some text
  5. Drug Test is More Than 185 Days Old
  6. Employer Letter is More Than 185 Days Old
    • Solution: Request a new, updated letter from your employer.
  7. Missing Identification Information
    • If your test results don’t include your Social Security Number (SSN) or the last four digits, or if your driver’s license number was used instead but isn’t accompanied by a copy of your driver’s license:some text
      • Solution: Contact the clinic and ask them to update your results sheet.
  8. Employer Letter Missing Required ID Information
    • Solution: Ensure your employer letter includes either your mariner reference number or the last four digits of your SSN. If it’s missing, ask your employer to issue a corrected letter.

How to Fix a Rejected Application

  1. Get a New Drug Test or Updated Documentation
Depending on the issue, you may need to take a new USCG-approved drug test or update your documentation with your clinic or employer.
  2. Double-Check Compliance
Use our Ultimate USCG License Renewal Checklist to ensure every part of your drug test documentation meets USCG standards.
  3. Resubmit the Entire Application
The USCG does not retain rejected applications or partial updates. You’ll need to resend your full package, including your corrected drug test or supporting documentation.
